Receipt Rabbit

Expensify alternative for solo freelancers

By Pine River Labs, makers of Receipt Rabbit · Updated 2026-10-18

Expensify is built for individuals who submit expenses to an employer and for companies that need approvals, company cards, mileage tracking, Android support, or several people on one workspace. Receipt Rabbit is a one-person iPhone app that reads every line item on a receipt, assigns each line its own category, and lets you mark business and personal spending per line. Choose Expensify if you report expenses to an approver, work with a team, track mileage, or use Android; choose Receipt Rabbit if you work alone on an iPhone and want mixed receipts split by line item for your books or tax prep.

One receipt, several categories: how each app handles it

When you run a one-person business, a single store run often mixes office supplies with household items, or puts two different business expense categories on the same paper tape.

Expensify's SmartScan reads the merchant, date, total, and currency from a single receipt. Line items are not mentioned on the SmartScan page. When a receipt covers more than one category, you split the expense manually in Expensify by dividing it into parts and entering the category, tag, date, and description on each piece (or using shortcuts to split the total evenly or by days). That workflow fits an employee submitting a clean reimbursement report to a manager.

Receipt Rabbit reads every line on a receipt and gives each line its own category from a fixed list of 42 categories in 11 groups, including a “Work & Office” group for business costs. Coupons, discounts, taxes, and fees follow the receipt's main category so the line items add up to the receipt total. You can keep personal lines and business lines on the same receipt without doing math by hand. When you mark a line as a business expense, your Tax Profile maps it to a Schedule C category.

Our founder built Receipt Rabbit after running into this exact gap:

“There simply is not a good solution for a receipt scanner that can itemize every line item on your receipts into different categories. I created it initially with Lunch Money sync and personal users like myself in mind, but quickly realized that as a business owner it's way more useful and necessary. Expense tracking and reimbursement for small businesses and solopreneurs is woefully underserved: there are huge corporate solutions like Navan, Ramp, and Quickbooks Online but no solopreneur or small business wants to pay for all of that. So I created the app and use it to track my own business and personal spending carefully. It's incredibly easy after a trip to submit reimbursement. It's easy to go back through for business taxes and see how much $ goes into each category, and where I have deductions and business expenses that I forgot about.”

If you do your own books without accounting software, Receipt Rabbit works as a standalone iPhone app and exports a line-item spreadsheet and receipt images whenever you need them. If you already use QuickBooks Online for your full accounting, Receipt Rabbit Pro connects directly to it so you do not have to split mixed receipts by hand.

In bookkeeping, the list of buckets you use to sort business spending is called your chart of accounts, and the stream of card and bank charges imported from your bank is called your bank feed. In Receipt Rabbit Pro, you map the app's categories to your existing QuickBooks Online chart of accounts once. Each scanned receipt posts as one Expense with a separate line for each QuickBooks category on it and the receipt image attached. Unmarked personal lines go to a non-business account you choose once, so the Expense still posts the full receipt total and matches the card charge on your bank feed. QuickBooks suggests the match to the bank-feed transaction and you confirm it. Receipt Rabbit never reads your bank feed, and it asks for the QuickBooks Accounting permission only, never Payments, so it cannot move money. You can sync on scan, or turn auto-sync off and review first.

Choose Expensify if

  • You submit expenses to an employer or an approver. Expensify's free “Submit” workspace is designed for individuals who code expenses and send them to an approver.
  • You need approvals or several people. Expensify's Collect and Control plans are built for multi-member workspaces with approval workflows.
  • You track mileage. Expensify's mobile app includes mileage with distance tracking, and Receipt Rabbit does not track mileage.
  • You want a company card. Expensify offers the Expensify Card on its paid workspaces, which also qualifies Control workspaces for per-member pricing “as low as $9”.
  • You need Android or text-in receipts. Expensify has apps for both iOS and Android, and US users can text a receipt photo to 47777.

Choose Receipt Rabbit if

  • You work alone and your receipts mix categories. Receipt Rabbit reads every line on a receipt and assigns each line its own category from 42 categories in 11 groups, with coupons, discounts, taxes, and fees following the main category so the totals add up.
  • You want business lines marked per line. One receipt can hold both business and personal items. When you mark a line as a business expense, your Tax Profile maps it to a Schedule C category.
  • You want QuickBooks Online to show one Expense split across accounts on a $59.99-a-year plan instead of a per-member plan. Receipt Rabbit Pro is $59.99 a year (about $5.00 a month) or $7.99 a month for one user, and posts a single Expense to QuickBooks Online split by category with personal lines routed to a non-business account you pick once. Expensify's QuickBooks Online integration requires the Collect plan, which is $5 per unique member a month ($60 a year for one member, our arithmetic from Expensify's published prices), and splitting an expense across categories in Expensify is a manual step.
  • You use Lunch Money or send a tax-year package to an accountant. Receipt Rabbit Pro finds the matching bank transaction in Lunch Money and splits it by category, and its accountant export builds one zip per tax year containing every receipt image and a master spreadsheet with one row per line item.
  • You want private storage on your iPhone without creating an account. Receipt Rabbit requires no sign-up or login, stores receipts on your iPhone and in a Receipt Rabbit folder in your private iCloud Drive, and blacks out card numbers, member IDs, names, phone numbers, and addresses before a receipt photo leaves your phone.

What Receipt Rabbit doesn't do

  • iPhone only. Receipt Rabbit requires an iPhone running iOS 18 or later from the App Store, with no Android, iPad, Mac, or web app.
  • One user per subscription, with no approvals or team features. You cannot invite employees, set up approval routing, or manage company cards.
  • No mileage. Receipt Rabbit handles store and invoice receipts from your camera, Photos, Files, share sheet, PDFs, and email forwarding, and does not track driving distance.
  • No bank or card connection of its own. Receipt Rabbit never reads your bank feed. When you sync with QuickBooks Online, Xero, or Lunch Money on Pro, bank-feed matching happens inside those apps.
  • QuickBooks Online, Xero, Lunch Money, and the accountant export need Pro. The Free plan gives you 30 scans a month and exports a line-item spreadsheet and image zip of all receipts. Syncing with QuickBooks Online, Xero, or Lunch Money, generating the per-tax-year accountant zip, building client trip expense reports, and scanning up to 300 receipts a month require the Pro plan ($7.99 a month or $59.99 a year).

Questions people ask

Does Expensify read every line item on a receipt?

Expensify's SmartScan page states that it reads the merchant, date, total, and currency from a single receipt, and does not mention line items. To divide one receipt across several categories in Expensify, you split the expense manually into parts and assign the category, tag, date, and description on each part. Receipt Rabbit reads every line on the receipt and gives each line its own category automatically.

How do Receipt Rabbit and Expensify handle a receipt with both business and personal items?

Receipt Rabbit lets you mark business or personal on each line item of a receipt, while Expensify uses a manual split. In Receipt Rabbit, when you mark a line as a business expense, your Tax Profile maps it to a Schedule C category. If you sync with QuickBooks Online on Receipt Rabbit Pro, unmarked personal lines go to a non-business account you choose once so the posted Expense still matches the full card charge.

Can I sync to QuickBooks Online on the free plan of either app?

No, both Receipt Rabbit and Expensify require a paid plan to connect to QuickBooks Online. Receipt Rabbit includes QuickBooks Online sync in its Pro plan for $7.99 a month or $59.99 a year (about $5.00 a month). Expensify requires its Collect plan ($5 per unique member a month for workspaces created on or after April 1, 2025) to connect to QuickBooks Online.

How many free scans do I get each month?

Receipt Rabbit includes 30 scans a month on its Free plan, and Expensify's monthly free SmartScan count was not stated on the pages we checked. Receipt Rabbit's Free plan also includes a line-item spreadsheet export of all receipts and a zip of receipt images. Email forwarding is included in Free, and forwarded receipts count toward your 30 monthly scans. Expensify's free "Submit" workspace is built for individuals coding expenses to send to an approver.

What happens to my receipt photos and card numbers in Receipt Rabbit?

Your receipts live on your iPhone and in your private iCloud, and save to a Receipt Rabbit folder in iCloud Drive. Before a receipt photo leaves your phone for categorization, the app blacks out card numbers, member IDs, names, phone numbers, and addresses. Receipt images are not kept on our servers after categorization.

Do I need QuickBooks Online, Xero, or Lunch Money to use Receipt Rabbit?

No, Receipt Rabbit is complete on its own without connecting any accounting or budgeting app. You can tag receipts with color-coded tags for clients, projects, trips, or tax years, search by store, category, date, or item name in the app and from iPhone Spotlight, and export your receipts to a spreadsheet and image zip whenever you do your books.
