QuickBooks receipt capture vs Receipt Rabbit: splitting one receipt across accounts
If most of your receipts go to a single expense category, use the receipt capture tool already included in QuickBooks Online. It pulls the date, vendor, amount, payment method and tax, attaches the receipt image, and matches the receipt to your bank feed. Add Receipt Rabbit when one receipt mixes several accounts on your chart of accounts or combines business and personal items that you want to split by line item before posting the Expense to QuickBooks Online.

What a mixed receipt looks like in QuickBooks
When you buy one thing on a receipt, such as fuel or a software subscription, QuickBooks receipt capture handles the job inside the software you already pay for. It reads the date, vendor, amount, payment method and tax, applies automatic categorization or your custom categorization rules, and suggests a match to your bank feed.
Bookkeeping gets harder when one trip to a store puts printer paper, client job supplies and family groceries on the same card charge. In QuickBooks Online, a single card charge in your bank feed expects to match a transaction with that same total. If you want your chart of accounts to show the exact business expense for each category without booking your groceries as office supplies, someone has to do the math line by line.
Receipt Rabbit does that line-item split before the receipt reaches QuickBooks Online. The app reads every line on the receipt and gives each line its own category from a fixed list of 42 categories in 11 groups, including a "Work & Office" group for business costs. Coupons, discounts, taxes and fees follow the receipt's main category so the totals add up. When you mark a line as a business expense, your Tax Profile maps it to a Schedule C category.
You map Receipt Rabbit's categories to your QuickBooks chart of accounts once. You also pick one non-business account (such as Owner's Draw or Personal) for any lines you leave unmarked as personal. When the receipt syncs, Receipt Rabbit posts one Expense into QuickBooks Online:
- Each business category on the receipt gets its own line on the Expense, booked to its mapped QuickBooks account.
- Any unmarked personal lines roll into your chosen non-business account on that same Expense.
- The receipt image is attached to the Expense.
- The Expense total equals the full receipt total, so QuickBooks suggests the match to the bank-feed charge and you confirm it in QuickBooks.
Our founder built Receipt Rabbit after running into this exact gap with his own business and personal spending:
“There simply is not a good solution for a receipt scanner that can itemize every line item on your receipts into different categories. I created it initially with Lunch Money sync and personal users like myself in mind, but quickly realized that as a business owner it's way more useful and necessary. Expense tracking and reimbursement for small businesses and solopreneurs is woefully underserved: there are huge corporate solutions like Navan, Ramp, and Quickbooks Online but no solopreneur or small business wants to pay for all of that. So I created the app and use it to track my own business and personal spending carefully. It's incredibly easy after a trip to submit reimbursement. It's easy to go back through for business taxes and see how much $ goes into each category, and where I have deductions and business expenses that I forgot about.”
QuickBooks Online handles your full accounting system. Receipt Rabbit handles the mixed receipts that need line-by-line sorting before they land in your books.
Use QuickBooks receipt capture alone if
- Most of your receipts are one category. When an entire receipt belongs to a single account on your chart of accounts, QuickBooks pulls the header details and categorizes the expense without needing an extra tool.
- A vendor, total and image are enough for your books. QuickBooks reads the date, vendor, amount, payment method and tax, stores the receipt image in one place, and matches it to an existing transaction when possible.
- You don't want another subscription. Receipt capture is already included in QuickBooks Online, and Intuit's features page states that the free version lets you track expenses and upload receipts at no cost.
- You are not on an iPhone. Receipt Rabbit runs on iPhone with iOS 18 or later and has no Android, iPad, Mac or web app.
- Several people on your team snap receipts. QuickBooks Online plans support multiple users on higher tiers and let an admin set up email forwarding for the account, whereas Receipt Rabbit is built for one user per subscription with no team features.
Add Receipt Rabbit if
- Your receipts mix categories. After a warehouse-store run with office supplies and household items on one slip, Receipt Rabbit categorizes every line item and posts one Expense to QuickBooks Online split across the right accounts.
- You buy business and personal items on one receipt. You can mark business or personal per line, route the personal items to a non-business account you set once, and still match the full card total in your QuickBooks bank feed.
- You want a tax-year package for your accountant with one row per line item. Receipt Rabbit Pro exports one zip file per tax year containing every receipt image and a master spreadsheet with one row per line item.
- You bill clients for trip expenses or search for specific items. You can apply color-coded tags for clients, projects, trips or tax years, build an expense report from a client trip to send, and search by specific item in the app or from iPhone Spotlight.
What Receipt Rabbit doesn't do
- iPhone only. Receipt Rabbit requires an iPhone running iOS 18 or later on the App Store; there is no Android, iPad, Mac or web app.
- One user per subscription, no approvals or team features. There is no sign-up or login, and the app is not built for company cards, multi-person approvals, or several users on one account.
- No mileage tracking. Receipt Rabbit reads and organizes receipts; it does not track vehicle mileage.
- No bank or card connection of its own. Receipt Rabbit never reads your bank feed and asks for the QuickBooks Accounting permission only, never Payments, so it cannot move money.
- QuickBooks Online, Xero, Lunch Money and the accountant export need Pro. The Free plan gives you 30 scans a month plus a line-item spreadsheet of all receipts and a zip of receipt images. Syncing to QuickBooks Online, Xero, or Lunch Money, building expense reports, and exporting the tax-year accountant package require Pro ($7.99 a month or $59.99 a year for 300 scans a month).
Questions people ask
Does QuickBooks receipt capture read line items?
Line items and splitting one receipt across several accounts are not stated on the QuickBooks pages we checked. Intuit states that QuickBooks receipt capture pulls the date, vendor, amount, payment method and tax from a receipt. If you want each item on a receipt read and split across different accounts in your chart of accounts, Receipt Rabbit reads every line item and posts one split Expense to QuickBooks Online.
Will I get duplicate expenses if I use both?
You will avoid duplicates as long as you add each receipt through one tool, not both. Receipt Rabbit creates the Expense in QuickBooks Online, and QuickBooks suggests the bank-feed match for you to confirm. QuickBooks receipt capture also matches a receipt to an existing transaction or creates a new expense. Use QuickBooks receipt capture for simple single-category receipts if you like, and use Receipt Rabbit for mixed receipts, but send any single receipt through one tool.
How do personal items on a receipt match my bank feed in QuickBooks?
Receipt Rabbit includes unmarked personal lines on the Expense in a non-business account you choose once, so the full Expense total still matches the card charge on your bank feed. Your business lines go to their mapped expense accounts, the personal lines go to that non-business account, and QuickBooks suggests the match to the bank-feed transaction.
Can Receipt Rabbit read my bank feed or move money in QuickBooks?
No, Receipt Rabbit never reads your bank feed and cannot move money. It requests the QuickBooks Accounting permission only and never asks for the Payments permission. You can let receipts sync on scan, or turn auto-sync off and review each receipt before it posts to QuickBooks Online.
What happens to my receipt photos and personal information?
Receipts live on your iPhone and in your private iCloud, and save to a Receipt Rabbit folder in iCloud Drive. Before a receipt photo leaves your phone for categorization, the app blacks out card numbers, member IDs, names, phone numbers and addresses. Receipt images are not kept on our servers after categorization.
